This course will cover the Procurement Cycle and the crucial role Facilities Managers play in securing a cost-effective and value-driven vendor base for their organisations.

In this session, you will:
  • receive an overview of key contract types and explore their respective merits.
  • learn how to process tenders and conduct direct negotiations, and how to ensure the successful implementation of new contracts and the smooth transition of new contractors.
  • receive practical documents to use in your day-to-day operations.
The facilitators will:
  • provide strategies to help you effectively plan and manage your procurement process. This includes developing a sourcing analysis plan, business case, and procurement plan, gathering relevant information, executing the procurement process, and implementing the contract.
  • explore procurement maturity analysis and spend analysis.
  • help you create value by presenting potential cost savings, risk mitigation strategies, and value initiatives to navigate the current challenging economic environment.
This interactive session will discuss and explore the structures and approaches to effective contract management to ensure you achieve the desired results. Procuring services is just the beginning – maintaining the performance of the services on an ongoing basis is only achieved through good practice contract management.  

Each contract you manage will have its unique requirements. This session will equip you with the tools and techniques to set up a consistent approach that can be refined to meet the needs of each vendor category. Applying what you learn in the lessons will allow you to work positively and collaboratively with your vendor group.

Developing a collaborative approach instead of a challenging and adversarial one is critical to succeeding in contract relationships. This course aims to help you demystify your vendors’ commercial needs and give you the skills to bring these requirements into focus within your contract management process.

Sharing the contract management burden is essential to working closely with your vendors. This session will help you to break down barriers preventing open communications. Using evidence-based measurement and applying flexibility to your contract management will help you achieve mutually beneficial outcomes that satisfy your expectations and the commercial requirements of your vendors.

John Braithwaite, CFFMANZ
John brings over 30 years of experience in the facilities management industry, primarily within the outsourced supplier network. His extensive career includes tenures at Serco Services, Knight Frank, DTZ, Transfield, UGL, Service Resources Limited, and BGIS. Currently, he serves as an independent consultant and Partner at PRISMA Facilities Management.

Throughout his career, John has specialised in developing contract solutions for customers and managing the FM delivery of multiple high-performing outsourced providers. More recently, he has transitioned into consultancy services, partnering with PRISMA to deliver maturity evaluations and improvement programs. He is also spearheading the development of the PRISMA FM Aggregator solution.

John's expertise lies in optimising contract performance and developing bespoke solutions centred around vendor collaborations. He has worked closely with numerous national and regional providers, creating customer-centric, performance-focused solutions that prioritise collaboration and open communication. His extensive experience with a diverse range of customers has enabled him to deliver contract management outcomes that maximise performance despite challenging commercial demands.

Jack Crutzen, Director PRISMA Facilities Management, CFMANZ
In 2015, Jack became the director of PRISMA Facilities Management, a consultancy specializing in facility & asset management, procurement, and corporate real estate. Since then, he has held several significant roles, such as Associate Director and FM Transformation Project Manager at Auckland University of Technology (AUT), FM Manager at Waikato University, and National FM at Fisher & Paykel Global. Additionally, he has taken on various FM and Procurement change management roles for other leading organisations.

Jack is passionate about enhancing business success through the built environment and workplace services. He believes in providing a fit-for-purpose FM operating model and a strategic approach that supports growth, margin improvement, cost management, and a more enjoyable workplace.

Jack has led numerous procurement projects in FM, developing bespoke contractor management strategies focused on collaboration, cost efficiency, value, and innovation. He has conducted multiple FM procurement and large contract reviews, including the NZDF FM contract and several large government contracts. Additionally, he has created a bespoke 'Cleaning Scan,' which provides a holistic review of cleaning contracts.
